Australian Program Associate (Not for Profit)

Our client is a fast-growing Australian Charity Organisation that needs an experienced Senior Executive Assistant to the Australian Program Director to part with them to deliver key organisational deliverables. The Executive is office based in Melbourne and this role would suit a remote Executive Assistant or a hybrid role for a Melbourne based Executive Assistant.

About you

You are a seriously well organised person who brings order to chaos, enjoys solving problems, loves making people’s lives easy and has an eagle eye for detail.  You are passionate about supporting a team of campaigners aiming to solve the climate crisis.  You have a good eye for detail and a good sense of how to organise multiple calendars, communication channels and competing priorities effectively. You may not be an expert in climate change but have a solid understanding of its importance. You are a clear communicator and have a knack for problem solving or pre-empting a situation before it becomes a problem. You appreciate the big picture of our mission and balance that with a high level of attention to detail and a collaborative mind-set to prioritise your work.

You are empathetic to the needs of others and have a desire to be helpful. You genuinely care about the success of others and their
initiatives. You have a hunger to play your part in solving climate change. You’re also comfortable juggling multiple dimensions of logistically challenging tasks.

You are good at making sense of complex conversations. You are experienced in helping to manage contracts, presentations and projects. You are excellent at formatting, proofreading and packaging documentation for specific audiences. You are a master of logistics. You love a good list or spreadsheet.

About the Role

This role supports the Australian Program Director and the operations of 5 Australian programs, their Directors and teams:

  • Australian Energy Transformation
  • Australian Gas Program
  • Australian Coal Mining Program
  • Australian Research Program
  • Australian Legal Program

You’ll be a lateral thinker, problem-solver and super-organised. You’re going to support the Australian Program Director to
prioritise, prepare and follow-through, so developing a deep understanding of our whole global organisation, our Australian programs and the context we’re operating in is going to make all the difference.

You’ll be engaging with everyone from the leadership team, philanthropists, business and NGO leaders, as well as staff at all levels
within our organisation. You’ll need a penchant for clear, direct communication, an unflappable nature, and the ability to read people and group dynamics. A knack for writing fast and well is a must – your average day could include everything from dashing off a chatty email to proof-reading a formal grant proposal.

Key responsibilities

  • Supporting the Australian Program Director to manage their workload, including task prioritisation, calendar management and
    overseeing communications with stakeholders
  • Supporting the Australian Program Director in preparing, editing, formatting and proof-reading complex documents, emails,
    reports, and presentations
  • Facilitating high level coordination and integration between teams, including supporting planning processes,
    cross-cutting projects, grantmaking and reporting processes
  • Planning, coordinating and providing logistical support for meetings, including arranging agenda’s, meeting materials, travel itineraries, and coordinating staff and stakeholders across multiple time zones.
  • Supporting the Australian Program Director with the administrative side of the recruitment process, including coordinating with the
    People Operations team and external recruiters on the hiring process.
  • Liaising with the People/Operations team on behalf of the Australia Program to ensure strong coordination around
    operational, HR, finance and legal needs.
  • Required skills and experience   
  • Experience in a similar or related Executive Assistant role supporting executives and/or senior managers, including relevant  unpaid, grassroots or lived experience
  • High level competency in organisational and project management skills
  • Ability to prioritise decisively and juggle multiple projects and priorities in a flexible, fast-paced environment
  • Well developed verbal and written communication skills including experience in editing, report writing and building presentations.
  • Intermediate level competence with software and tech solutions
  • Excellent interpersonal skills and a high-level emotional intelligence
  • Ability to understand complex strategic and organisational dynamics
  • A passion for action on climate change and a commitment to social justice.
